3.1 Login
RWTH members are natural persons who are employed by one or more institutions of RWTH Aachen University. The regulations of the Grundordnung der RWTH Aachen University (§ 3) apply here (Official Announcement RWTH Aachen University No. 2020/042(de)).
An RWTH identifier (TIM) with a corresponding password is required in order to use all functions of RWTH Publications. The identifier consists of two letters and six digits. RWTH Aachen University distinguishes between members and affiliates. If a person does not have access, they should check the TIM login to see if they have member status.
It is also possible to access the database RWTH Publications from external locations using the RWTH identifier (TIM). If you no longer know your identifier and/or password, please ask the IT-ServiceDesk The staff there are responsible for everything concerning your login.
Entries to RWTH Publications may only be made using your own login. The passing on of relevant data or of the password is a violation of the regulations for using the RWTH data network.

3.2 Searching
The collection concept is a special feature of RWTH Publications. Collections are logical data volumes which can be used to filter the data pool. The RWTH Publications home page has a corresponding search field as well as a list of the various collections which reflect the structure of RWTH Aachen University. In the default setting, all the collections are activated. If one or more collections are selected, the search is only carried out in the corresponding data pool. Once a search has been made, it can be broadened to include other collections. After a search has been started, the results are sorted into collections and displayed. More information on the display and sorting of the results list can be found at 3.2.2 Results Lists.
3.2.1 Search options
The search options range from simple search queries (as in search engines) up to and including complex search strategies. For further information please refer to the Search Tips und im Search Guide . Please register for this.

Search fields enable you to enter precise search queries and combinations of various search terms.
Enter the parameter of the desired search field followed by a colon and the search term:
a. Individual search terms
b. Linking of search terms by way of spaces
If you separate several search terms by spaces, all entries containing these search terms will be found. In this case the space corresponds to an “and” connector.
All entries where both the word “Doe” and the word “John” appear in one of the person fields will be found as well as those where one of the words appears in the other person field, i.e. also “Doe, Max” and “Walton, John”.
All publications by a person named "Doe" which have the word “semiconductor” in the title and were published in 2018 will be found.
Use quotation marks if you want the search terms to appear in an exact order: c. Linking of search terms with quotation marks
All entries where the search term occurs as an exact phrase in a person field will be found, i.e. only those publications in which John Doe was involved.
d. Excluding search terms
Place a “not” or the "-" symbol before the search term if you wish to exclude certain search terms:
All publications by a person named "Doe" which do NOT have the word "semiconductor" in the title will be found.
e. Expanding the search request
The search request can be expanded using the “or” connector:
Publications from the institute with the Institute Identification Number IKZ 133510 and publications from the institute with the IKZ 134030 will be found.
f. Search criterion “year”
You can limit the search to a certain period of time by entering the following string of characters: "->".
All publications from 2010 to 2018 from the institute with the term “universitätsbibliothek” will be found (alternatively, you can also enter the relevant IKZ).

3.2.2 Results list
The data records found are displayed as a list with an overview of the results at the top. If you want a sorted display, you have various options in three pull-down menus:
3.2.2.1 Sort by
a. Sorting criterion 1
- Latest entries first: the default setting in RWTH Publications is sorting by the most recent entry.
- Title: alphabetical sorting according to the title of the publication
- Author: alphabetical sorting by surname and first name of first author
- Report number: alphanumeric sorting by report number
- Year: numerical sorting by one of the years entered
- journal: alphabetical sorting by the title of the journal
- [pub] Year of publication: numerical sorting according to the first registered year of publication
- [typ] Type of document: alphabetical listing by type of document
- [web] Report year: numerical list according to the oldest year of publication
b. Sorting criterion 2
- desc.: the default setting in RWTH Publications is sorting in descending order
- asc.: search results are listed in ascending order according to the previously selected sorting criterion
c. Sorting criterion 3
- - or sort by - : This is the default setting and does not result in any further sorting
- Word similarity: In addition to the previously set sorting criteria, the results list can be sorted by word similarities
3.2.2.2 Display results
a. Number
The collections can be expanded to 25, 50 or 100 entries per page. The default setting in RWTH Publications is a page displaying 10 documents.
b. Collection
- single list: All the documents will be displayed in one list irrespective of the collection to which they belong. This means that there will be no multiple listing of entries.
- Assign to collections: The standard default setting for the results list is “Assign to collections”. This means that the documents will be listed in the various collections. Entries may therefore be displayed multiple times, as documents are assigned to several matching collections.
3.2.2.3 Display format
You can select the format in which the results are to be displayed under “display format”. The HTML Brief display is the standard default setting.

3.2.3 Display
a. Brief display
After the search request has been sent, the default HTML Brief display will appear. Entries in this format are limited to essential identification features such as persons, title and first identifier.
b. Detailed display
If you click on the title of a document, a detailed display with all relevant information will appear.
You can select the following actions for the data set from the action box in the bottom right-hand corner:

This is a basket function which is practical for later use of the search results.
-> Export as..:The search results found can be exported in a desired format (s. Display Format)
-> Request correction:Requests for corrections can be sent to the University Library via e-mail.
-> Submit fulltext:To have a full text added to an existing data set, use the link “Submit fulltext” and attach the PDF as an attachment to the e-mail which opens.
-> Archiving related research data:If you wish have research data related to the data set archived, you can upload it using "Archiving related research data". The research data (maximum file size 2 GB) is archived using simpleArchive (link) and linked to the corresponding data set. Use the document type Dataset if you wish to publish your research data. 3.2.4 Interacting
You can interact with other users of RWTH Publications through your user groups and the news system.
You can also rate individual publications by clicking on one of the stars under “Rate this document” in the detailed display and subsequently writing a short review.
Comments on an article in the detailed display can be made by using the “Discussion / Diskussion” tab. You can register in the comment form to discuss the relevant entry by following the link "Subscribe / Register".

3.2.5 Creating a search profile
You can retrieve URLs by following the link “Create search profile” in order to create lists of publications. Complete the form with the search criteria and press the button "Get URL".

Published talk slides, manuscripts or similar. Documents prepared for a talk which was not given at a conference / symposium. If you have not yet published the relevant articles, you can use the publication server of the University Library quickly and conveniently at any time to do so. -
Contribution to a conference proceedings
Contributions which have been published as a long version within a conference publication. For abstracts please select the document type "Abstract". For presentation slides please select the document type "Conference Presentation" (see also Poster). -
Poster
Presentation medium which presents scientific contents in the context of symposia, congresses, trade fairs or similar. -
Lecture (teaching)
Published documents which you have created for use in teaching, e.g. lecture transcripts, manuscripts etc. If there is no publication here yet, you can use the publication server of the University Library quickly and conveniently at any time for publication.
Theses

Postdoctoral Thesis
The “habilitation” is the highest ranking university examination which forms part of an academic examination procedure determining permission to teach a scientific subject. As a rule, there is no obligation to publish a “habilitation” thesis. Nevertheless, we recommend that you create an entry. -
Ph.D. Thesis
Doctoral students are obliged to make their dissertation available to the scientific public in an appropriate manner within a certain period of time. You can use the Ph.D. Thesis entry field to enter whether the dissertation was published independently or with the support of a publisher and furthermore whether the dissertation was published in electronic or printed form. -
Diploma Thesis
Examination theses such as Master, Bachelor, Diploma, Magister and State Examination (Staatsexamen) theses are not usually published. You are, however, welcome to make an entry providing you have the consent of the relevant supervisor of your final theses and to publish the full text on condition that the relevant requirements are taken into consideration. -
Master Thesis
Publication of a Master thesis is only possible with the agreement of the thesis advisor. (See Diploma Thesis) -
Bachelor Thesis
Publication of a Bachelor thesis is only possible with the agreement of the thesis advisor. (see Diploma Thesis) -

Report
Scientific, statistical or technical report from an institute or faculty or on a project or planned research project. The specific identification number of a report is the report number. Please note that we only document published reports.
Patents
-
Patent (Patent)
Industrial property right granted by a sovereign body for an invention. In the case of this type of document, the granted patent is the final definitive entry. When you initially enter the publication of the patent application (Offenlegungsschrift), enter the phrase “publication of the patent application” in the field "Internal note to library staff". The library staff will then use this information to document the subtype “publication of the patent application”. The Patent & Standards Information Center in the library will automatically notify the library staff when the patent is granted. The entry will then be changed accordingly by the library staff. The subtype “publication of the patent application” will be dropped and the patent number and year of publication adjusted. A small note to help you: In the case of German patents, the letter “C” appended to the patent number indicates the granted patent while the letter “A” indicates a publication of the patent application. Note: There is a period of 18 months between the publication of the patent application and the filing of a patent. Please do not enter patents before they have been published in the form of a publication of the patent application.

Preprint
Preprint of the version of an article or document submitted for review where publication is planned. These differ from the version published later from a bibliographic viewpoint and are sometimes considerably different in terms of content. Preprints have not (yet) undergone a peer-review process. -
Software
Entry field for describing programs or all non-physical components of a computer-aided system. -
Website
Presence on the WWW (as a set of hypertext documents). Websites are an essential part of scientific communication and are also referenced, e.g. by virtual specialist libraries. One entry per year can be made for websites which you have developed and maintained for several years.

3.3.2 Form
Once you have selected the desired document type, an entry form will open. Please now enter all the data you have - the more the better. Careful completion will ensure that your entries are processed and activated quickly.
The editorial review is performed through research in national and international library catalogues, specialist databases, symposium websites and other sources. We obtain the minimum information required for this from the required fields, which can be identified by the names written in red. It is therefore particularly important that you do not skip these fields. If you make entries on behalf of others and do not have the required information, please determine this or ask the authors in question.
Enter a hyphen in the relevant field if the information required definitely does not exist or cannot be determined. Only then can the entry be saved.

Please check whether the suggested data is your publication. If so, select “Import”. The information will then be transferred to the form. You can now add any missing data - finished. If you have entered a DOI or ID from arXiv, WoS, Medline, Inspec or Biosis, it will disappear from the import field after the data has been loaded. The DOI may need to be added again in the lower part of the field. If you have entered an ISBN, it will remain in the field.
If the search result does not match your entry, select “Discard” and continue the entry yourself by hand.
If the system detects an existing entry on the basis of the data or identifier found, a message will be displayed. The data set which was started can then be cancelled. Please check in this case whether the existing entry has your identification number.
Internal note to library staff
Please use this field for messages which could be important for our editorial work. In the case of research data, for example, this could be a note stating that it is a case of data linked to a publication. We will then create a link between the text and data publication.

Please enter all the persons involved here (“surname, first name”). If possible, select the form of the name from the list of suggestions that actually corresponds to that of the person concerned. If this form of the name does NOT match that on the document you are entering, please enter the form of the name on the document in the field “Internal note to library staff”. If a person’s name is obviously incomplete or incorrectly spelled on the document you are entering, please choose the correct spelling and also indicate this in the field “Internal note to library staff”.

If the list of suggestions does not contain the form of the name that actually corresponds to that of the person concerned, please select the actual form of the name with the indicator “External”. Here too, please enter the form of the name on the document being entered in the field “Internal note to library staff”.
Keep to the sequence of the name on the original document being entered, as this could provide information about the person’s participation in a publication.
If you created your entry by importing data (Import data), the persons involved will have been automatically transferred to the form together with the corresponding additions. If you enter the persons’ names by hand, the program will suggest the identity records found while you type in the names. These can then be adopted. Note: The more complete your entry of the name, the more accurate the list of suggestions made by the program will be. Adopt the name with its identification number if an identity record already exists. Adopt the name with the addition [external] if there is no identity record yet.
Please confirm at least one name as correct by clicking on the green symbol on the right.
To remove a name, click on the “Delete” symbol on the far right. If you wish to make a change, click on the small figure on the right to open a window. Here you can correct names, change roles and name an external institution. If you are new to RWTH Aachen University, please enter the note “RWTH: new person” in the “Institution” field.

The “Author” role is the default entry for each person. This role can be adapted according to function:

In most cases, the author's version of the full text, i.e. the version accepted for publication (post-referee version), can be used for a (self-archiving) second publication. If there is permission from the copyholder for the text to be made visible worldwide, you have the advantage of considerable simplification in the use of the document on the one hand and a significant increase in the visibility of your research on the other. If you upload the author's version, we will check for you whether the copyright holder has given permission for the text to be made visible worldwide. 3.3.3 Saving entries
Finish & Release
If you wish to finalise your entry when you are finished, click on "Finish & Release" at the end of the form. The data will be automatically checked for completeness. If any information is missing, you will be informed as follows: “The field … is required. Please complete it.” Please check the relevant field again. Once you have completed all the required fields, the data set will be saved in the system.
Save entry temporarily
If you wish to save an entry temporarily because you would like, e.g. to determine missing information, use the “Postpone” option at the end of the form.
Cancel data entry
If you decide when entering data that the entry started should not be completed, simply exit the form. Either return to one of the menu items or close the browser if you no longer wish to make any entries.
Submit another publication
If you wish to submit another publication, please click again on “Submit / Publish & Submit” and then on the desired type of document. DO NOT go back in the browser history to create a new record over an already completed field. This would lead to a duplicate entry.
Import of BibTeX data
You can also import your publication references as a BibTeX file. Please perform the upload only with several entries in one file. Please upload new entries only.

- Enter only those publications into the BibTeX file which are not yet present in RWTH Publications.
- Enter all publications to be imported into one BibTeX file.

3.4 Personalize
The "Personalize" tab allows you to customise RWTH Publications to your individual needs and to manage your personal baskets, user groups, search queries, etc.
- “Your Account” enables you to, e.g. set the default language of the user interface or define the number of search results to be shown per search query.
- The “Your Alerts” function lists notifications which you have received from the system.
- Individual literature management is offered with “Your Baskets”. You can collect selected data records manually in baskets.
- “Your Groups” allows you to manage your membership in various user groups, to create groups yourself and to invite other users to your groups. This enables you to network and exchange ideas with other scientists.
- Use “Your Messages” to manage messages you have received from other users or which you send to other users.
- The history “Your Searches" saves all queries made with your identifier during the previous 30 days. You can use this list to restart search queries or to set up search requests related to them. You will be notified by e-mail if new entries corresponding to this search request are made.
- If you have created a personal identity record (=IdM record), personal data such as name variations, institute, e-mail address, ID record and the ORCiD will be listed under “Your Personal Authority Record”. You will also receive a list of the publications associated with your personal identity record.
